Sort and file completed orders numerically-both active and inactive files. Prepare inactive files for storage area. Responsible for retrieving and maintaining inactive purchase orders and quotation files located in storage area. Sort, open and distribute incoming mail; prepare out going U.S. mail. Sort and mail out inter-office mail to departments and campuses; maintain mailing list. Operate and/or maintain photo copying and fax machines; distribute all incoming fax mail. Match receiving reports and invoices with purchase orders for payment.
Assist in processing invoice payments as necessary. Answer telephone; provide information or refer. Collate, staple and distribute duplicated materials. Proofread/edit quotation forms; and type correspondence, reports, forms etc. Operate a variety of office equipment to include calculator, typewriter, computer, printer, mail opener, scanning equipment etc. Provide backup support as needed. Requires High School diploma or GED or an equivalent combination of education and experience. Good customer service and oral communication skills desirable. This is a fixed-term appointment funded for one year from date of hire.
